SCW Contract Bridge Club

Board Meeting Minutes – Nov 11 2023

Invited Attendees & Location
All Board Members. Beardsley Sagebrush Room 4.30pm.

1 Call to Order, Roll Call, Establish Quorum

Board members present were Diane Wuethrich, Mary Vraney, Bill Cooper, Nick Turner, Barb Carl, Sharon Holmes, Jack Michels and Lois Kolesar so a quorum was established. Our Chartered Club Committee Liaison, Judy Thompson, was present. Several Club Members were also present for all or part of the meeting.

 2 New Business

3.1 Treasurer’s Report

  • Bill presented the treasurers report for the Wednesday Division funds. We have $1,156 in our bank account.

3.2 Wednesday Christmas Party

  • The Wednesday Division Party will be December 13th at 5pm. It will be held in our old rooms at Beardsley (Chicory/Mesquite/Ocotillo).

  • Barb reported that Joy will be catering and providing Ham and Chicken. Nick asked that we verify that Kasey has an insurance certificate on file from the caterer.

  • Sign up and ticket sales for members will start in two weeks.

  • Last year we had 78 people eat dinner.

  • Sign up for volunteers to help will start today. We need people to pour soda and ice, set up tables, guard the desert, etc.

  • Tickets will be $15.00 for members and $20.00 for guests (see discussion below on annual dues).

  • The Club will not purchase any door prizes but Members will be asked to donate some.

3.3 Handicap Table Trial

  • As the Sagebrush room has tables that are closer together that our old rooms and some members have difficulty moving around we are going to trial the reservation of four tables at the end of a row and near the doors as “handicap” tables.

  • Any member who wishes, as they or their partner, receive their tally sheet and table assignment can ask for a “handicap” table and they will be given a “stay” tally for one of the four.

  • We will ask if this is working well after a few weeks.

3.4 Annual Election Meeting

  • We will hold the annual election meeting Dec 20.

  • Dianne will ask for nominations and the board will come up with a slate.

  • Some board members are “term limited” by the Bylaws but can serve another year if no other member is nominated for the position.

  • Nick will provide 30-day notification to members by email. Nick will also ask Gene & Liz to post on the club website.

3.5 Annual Membership Dues

  • To maintain the subsidy for the Wednesday Christmas Party, and cover the rising costs of cards and score sheets etc. It was proposed that the annual dues be raised to $10.00 per annum.

  • There was discussion about the topic and other suggestions were made and rejected:

    • Raise to $10.00 and include both divisions in the fee.

    • Raise the first Division joined to $10.00 and keep the second at $5.00.

    • Raise Wednesday to $10.00 and keep Tuesday at $5.00 (this would likely violate the “tiered membership” ban.

  • In the end the board agreed to recommend that dues remain at $5.00 pa but we would raise ticket prices for the Wednesday Christmas Party.

3.6 Move to Sagebrush

  • Pads for chair legs are on the way. That will help reduce the noise a little.

  • Kasey is prepared to order and pay for two high tables for us so that Bill can more easily do weekly sign up and collection from “behind a counter”. After the discussion below about a potential room change, we asked that this be put on hold until we determine if a room move will work.

  • We do not expect that RCSCW will provide carpeting, or any make any changes that will result in a significant reduction in the noise level.

  • Comments from the membership during the meeting made It clear that the room is too noisy for some and they would welcome some action (e.g. a move to another room or effective mitigation) to reduce it.

  • The Board will continue to investigate how we can return to our old rooms or find a less noisy alternative. Nick was asked to work with Judy and Kasey on an alternative. The most probable options appear to be a return to the old rooms but a change of day:

    • Change to Monday: This would necessitate a move by the Bid Euchre Division of the Card Players Club.

    • Change to Tuesday: Already rejected by the membership. But if the Board feels this is the best option we can ask again.

    • Change to Thursday: However, we would lose the room every time there is a concert in Beardsley Park.

  • Nick will report back to the board with the options after discussions with RCSCW.

  • The Board will then discuss and make a recommendation to the Membership for a vote.

Board Meeting Minutes – Sep 06 2023

Invited Attendees & Location

All Board Members. Beardsley Card Rooms.

1 Call to Order, Roll Call, Establish Quorum

Board members present were Diane Wuethrich, Mary Vraney, Bill Cooper, Nick Turner, Barb Carl, Rod Scrivener and Lois Kolesar so a quorum was established.

 2 New Business

3.1 Treasurers Report

  • Bill presented the treasurers report for the Wednesday Division funds we have $1,049 is our bank account. (see attached).

3.3 Wednesday Christmas Party

  • The board will ask the membership for volunteers to chair the party planning group. We will provide a brief description of what is required.

  • We will also ask the membership if anyone knows of a suitable caterer.

3.4 Move to Sagebrush

  • The board asked Nick to explain to the membership about the move to Sagebrush. We know the room is going to be noisy and we have made it clear to RCSCW we are not happy about that.

  • We will also ask the membership about their desire to move to another night – Tuesday is best for an evening but that would mean a move of Tuesday to a different afternoon. Thursday Night is a possibility but we will get cancelled every time there is event in Beardsley Park.

4 Any Other Business & Comments

  • Marketing – Mary suggested we make more use of the Independent newspaper’s need for content by providing them with photos of club activities and officers on a regular basis. This will help attract new members and show us as being a friendly group. The Board agreed to do this and will ask Gene and Liz Mitofsky for their help.

  • First aid kit – Dianne has produced a first aid kit for the “Tuesday Cupboard’ and will bring it next week.

  • The Board discussed that offering beginner’s bridge classes might increase our membership. Nick was asked to find out if we can use the Tuesday room ahead of regular play, for free, for a small beginner’s bridge class.
